Accounting Assistant
Job Description:
We are seeking a dynamic and detail-oriented Accounting Assistant to join our team! You will support the accounting team in delivering accurate and timely bookkeeping services for multiple law firm clients by preparing client accounts for month-end close and assisting with recurring weekly accounting tasks. This role ensures documentation is organized, financial data is complete, and Staff and Senior Accountants are equipped to deliver accurate financial reporting.

Primary duties & Responsibilities
- For assigned teams and clients in month-end preparation: create and organize folders through our standard process in FasterSuite monthly
- Download and save bank and credit card statements
- Download and save additional reports, such as payroll and/or Clio reports
- Ensure all required documentation is complete, accurate, and properly filed prior to Staff Accountant, Senior Accountant, or Team Lead review
- Assemble accurate and timely financial packages for Staff or Senior Accountant review
- Ensure reports are properly saved and organized through our standard process
- Maintain consistency in file naming and documentation standards to ensure accuracy and consistency
- Identify missing or inconsistent information and escalate issues promptly
- Clear bank feeds in QuickBooks Online within established timelines
- Create deposits from undeposited funds
- Reconcile bank and credit card accounts and escalate any challenges to leadership
- Perform basic trust accounting tasks, including simple reconciliations and three-way matches timely and on schedule
- Assist with 1099 preparation, tracking, and filings support
- Assist with collection of vendor information for clients, including W9s throughout the year
- Support client projects and other special projects as needed
- Provide general administrative and accounting support
Skills & Background
- Familiarity with QuickBooks Online preferred
- Basic understanding of accounting principles
- Proficiency in Microsoft Excel
- Highly organized and detail-oriented
- Able to manage multiple tasks and shifting priorities
- Strong follow-through and accountability
- Professional written and verbal communication skills
- Comfortable working independently within defined processes
Education and Experience
- Associate’s or Bachelor’s degree in Accounting, Finance, Business, or related field preferred
- Prior internship, coursework, or part-time experience in accounting, bookkeeping, or office administration
- Basic familiarity with accounting principles or bookkeeping concepts
- Experience with QuickBooks Online or similar software preferred
